SOP: Tellmegen Sample Handling -
South Africa
Effective Date: 11/02/2025
Last Updated: 22/05/2025
Prepared By: Leo Lopaz
Approved By: Chantal Sciberras
Applies To: EasyDNA South Africa, Tellmegen Laboratory, 3rd-party resellers
- Overview
This SOP outlines the agreed process for handling Tellmegen DNA testing samples
originating from clients in South Africa. It includes customer communication
procedures, sample logistics, data privacy handling, and coordination with Tellmegen
and affiliated labs.
- Client Communication & Consent
- EasyDNA and Tellmegen must inform all clients of the updated South African
process at the time of purchase.
- Client must scan and email their kit barcode to:
info@easydna.co.za
This must be done before shipping their samples.
- Consent Form Requirement:
Clients must scan and email their signed consent form to
info@easydna.co.za.
- Sample Shipment Instructions
- Clients are responsible for arranging their own local courier service to send
samples to: FAO: Noxy Layisha
Company: EasyDNA South Africa
Address: Wedgefield Office Park, Block A
17 Muswell Road, South Bryanston
Johannesburg, South Africa
Tel: 0800 999 239 / (0)11 317 3600
- Remind clients:
EasyDNA does not arrange courier pickup.
Ensure samples are clearly labelled with the correct barcode.
- Client Email & Data Handling
- For each Tellmegen case, EasyDNA must include the client's email address
in the "comments" field next to the custom case reference number in the
system.
- Tellmegen must only use this email address to coordinate:
- Sample return queries
- Result delivery (if applicable)
- Tellmegen must not send any financial communications (e.g., invoices,
receipts) to the client. All payments are handled exclusively by EasyDNA.
- Tellmegen Responsibilities
- Use only the EasyDNA-provided email for all client communication.
- Do not send invoices or payment emails to clients.
- Coordinate return courier collection directly with the South African client when
required.
- Copy info@easydna.co.za in all communication to maintain transparency.
- Internal Shipping Process (ZA → EDL →
Tellmegen)
- Samples received at the EasyDNA ZA office are batched with other South
African cases.
- These are forwarded to Endeavor DNA Laboratories (EDL) in the USA
using standard FedEx international shipping.
- Once at EDL, Tellmegen provides their own AWB (Air Waybill) to
redirect samples from EDL to Tellmegen in Spain.
- Clarification - 24Genetics vs Tellmegen (Admin
Note)
- This protocol is specific to Tellmegen samples.
A recent admin error resulted in this being confused with 24Genetics Europe
(HPACK samples).
- The same model may be applied to 24Genetics in the future, but AWBs will
differ.
- Additional Notes on ZA Sample Logistics &
Costs
- ZA clients often struggle with courier bookings-especially those purchasing
via 3rd-party agents.
- Most clients are unfamiliar with international shipping and face issues with
FedEx.
- If international courier costs become too high:
- EasyDNA may consider batching shipments at Regus ZA.
- Then request Tellmegen or other labs to provide their own AWBs to
ship directly from ZA to Spain.
