Transfer Process
Version: March 2026 Update
Supersedes: French Market Set-Up - Relaunch | 25 April 2025
- PURPOSE
To define the correct operational procedure when:
- A client in France submits an enquiry
- A French client places an order via EasyDNA
- A French client pays only a €60 courier fee
- A case must be transferred from EasyDNA to AffinityDNA
- Samples must be returned from France to the UK
This SOP ensures:
- Regulatory compliance
- Controlled case handling
- Financial clarity
- Accurate internal tracking
- GENERAL RULE - FRANCE
EasyDNA does not operate in France.
No testing services may be processed directly through EasyDNA for France-based clients.
All France-related enquiries must be redirected to:
AffinityDNA

This rule applies to:
- Orders
- Sample submissions
- Indirect shipments
- Infidelity testing
- Non-standard samples
- NEW SCENARIO - CLIENT PAYS ONLY €60 COURIER FEE
Situation:
Client places order via EasyDNA France but pays only the €60 courier fee.
Inform Theo immediately that a new French client has entered through EasyDNA with a courier-
only payment.
No processing should begin until contact is made.
STEP 2 - CLIENT CONTACT (Handled by Theo)
Theo must:
- Inform the client that EasyDNA cannot process their case due to operational restrictions in
France.
- Explain that, with the client's permission, we can:
- Send the client's details to AffinityDNA
- Arrange for a kit to be sent
- Allow the testing cost to be paid once AffinityDNA has received the samples
- If the client is hesitant or unsure about proceeding, Theo may:
- Reinforce that the kit is provided without an upfront testing payment
- Offer a €10 discount code as a goodwill incentive to assist the client in proceeding with the
AffinityDNA transfer
The €10 discount code should only be offered if the client is not persuaded by the free kit and the
delayed payment structure. It is not to be advertised or automatically applied.
- Await written confirmation from the client before proceeding with:
- Case transfer
- Kit allocation
- Courier fee refund
STEP 3A - IF CLIENT AGREES TO TRANSFER
1⃣ Transfer Case in ATP
- Go to the Edit Tab
- Transfer the brand from EasyDNA to AffinityDNA
- Save changes
2⃣ Refund Courier Fee
- Submit a refund request for the €60 courier payment
3⃣ Allocate AFF Kit
- Allocate appropriate Affinity kit
- Send the "Kits to Send Out" email to the Barcelona office for dispatch
4⃣ Payment Collection
Once samples are received at the UK Office:
- Send the client the payment link for the full test cost
- Up to 10% discretionary discount permitted where commercially appropriate
STEP 3B - IF CLIENT DECLINES TRANSFER
- Refund €60 courier fee
- Close case
- Add internal note:
FR client declined Affinity transfer - case closed
- KIT TRACKING CONTROL (NEW ORDER TEAM)
For all French transfers:
New Orders Team must maintain a tracking log, including:
- Client Name
- Case Reference
- Kit Number
- Date Allocated
- Date Shipped
- Date Samples Received
- Payment Link Sent (Y/N)
- Paid (Y/N)
Review Period
End of March
End of April
Cross-check:
- How many kits are allocated
- How many clients returned samples
- How many converted to paid tests
Purpose: Evaluate the effectiveness of the transfer strategy.
When assisting clients returning samples to the UK:
Courier Declaration Guidance
Clients should:
- Declare value: €1.00 (nominal, no commercial value)
- Description: "Exempt Human Specimens for laboratory testing"
- HS Code: 3002.90 (Human blood / biological products - non-infectious)
- Company Name: EDL GBR Ltd
- Include UK EORI: GB488913238000
This classification is appropriate for:
Non-infectious human specimens for laboratory analysis.

- INFIDELITY & NON-STANDARD SAMPLES (FRANCE)
Infidelity testing is not permitted.
For paternity and relationship analyses:
- Buccal swabs only
- No discreet samples or non-standard samples
Clients must be redirected to AffinityDNA.
- EMAIL / LIVE CHAT / PHONE SCRIPT
Scripts remain as per the original document:

But must now be interpreted alongside this SOP.
Important operational update:
If a French client has already paid a courier fee, do NOT simply redirect.
Follow the transfer procedure in Section 3.
¶ 8. INTERNAL NOTE STANDARD
When transferring cases, add ATP note:
FR Client - Transferred to AffinityDNA under March 2026 SOP. Courier fee
refunded. Awaiting kit dispatch.
10. Technical Background - WooCommerce Behaviour (Internal Only)
French clients are sometimes able to proceed to checkout with only the €60 courier fee due to a
WooCommerce behaviour:
- Client selects Home Paternity Test
- Client selects options
- Client inputs France as a country
- WooCommerce removes the core product
- Selected add-on options remain
- The client can complete payment for the courier only
This is a system limitation currently under review with Rod.
This behaviour is not intentional and does not override operational restrictions for France.

The discount code should be treated as:
- A conversion tool
- Not automatic
- Not advertised publicly
- Offered only after a free kit proposal
